The WateReuse Association is seeking a full-time Executive Assistant to join its team of professionals working to advance water recycling nationally. The Executive Assistant position reports directly to the Executive Director, provides executive support in a one-on-one working relationship, and serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Director. This position also helps the Executive Director manage administrative duties related to the Association’s Board of Directors. The ideal individual will have the ability to exercise good judgment in a variety of situations and possess exemplary written and verbal communication, administrative, and organizational skills.
PRIMARY RESPONSIBILITIES:
Assistant to Executive Director and Board of Directors: Provides high-level administrative support and assistance to the Executive Director and to the Board of Directors, including meeting materials preparation and administrative follow-up for quarterly meetings.
Provide sophisticated calendar management; prioritize inquiries and requests, troubleshoot conflicts with little guidance, make judgments and recommendations to ensure smooth day-to-day engagements.
Coordinate with staff team on Board-related matters.
Support Executive Director with internal and external communications.
Conduct research and analysis on issues of interest to the Executive Director.
Manage all scheduling and travel logistics for the Executive Director.
Be available to travel with the Executive Director for at least two in-person Board of Directors meetings per year.
Prepare, edit and track documents requiring the Executive Director’s approval.
Provide contract filling and tracking support.
Assist WateReuse Association’s State and Regional Sections in administrative tasks as needed.
Assist in other administrative tasks as needed.
5+ years related work experience
Experience with the non-profit and/or governmental sector preferred
Strong interpersonal skills with the ability to take initiative, multi-task, coordinate with team of professionals
Excellent communication skills, both verbal and written
Demonstrated writing and analytical skills
Excellent organizational skills, commitment to accuracy and attention to detail
Good judgment and ability to function independently and on deadline
Strong working knowledge of all Microsoft Office applications and Microsoft Teams functionalities
Ability to handle sensitive and confidential situations with diplomacy
Highly experienced in electronic communications
Ability to work a hybrid schedule from the office and from home. Office work will be required for at least 2 days per week.
